Document Management System is a system used to receive, track, manage and store documents and reduce paper.  Most are capable of keeping a record of the various created and modified by different users (history tracking).  In the case of the management of digital documents, such systems are based on computer programs.  These systems enabled in organization to capture faxes and forms, to save copies of the documents as images, and to store the image files in the repository for security and quick retrieval.  This system consists of modules such as metadata, integration, data validation, indexing, storage, retrieval, distribution, security, workflow, collaboration, versioning, searching, etc.

Modules of EDMS includes Document Management, User Role and User Management, Document Type Management, Document Workflow Management, File Saving and Sharing, Saving Draft Document, Reports and Record Letters, etc.

External Document Workflow

External Document Workflow means working process of submitting or sending document to different department, even request permission and approval of his/her department’s supervisor or directly submitting or sending document.

Internal Document Workflow

Internal Document Workflow means working process of incoming document such as Register Dispatch, Submit or send Document within internal department.

File Management and Sharing

File Management Process was the Uploading and Saving Process of Physical Data File via user’ role assessment and sharing uploaded data through the department by giving permission access.

Digital Signature Management

Digital Signature is used in every approve process of document workflow.

It includes two ways as:

  • Pre-Defined Signature Set-Up by uploading Signature Image
  • Integration with any other e-Signature Signing Tools

Signature security -

  • Encrypt Sign
  • Don’t show to any user
